Processing Activities

As a data controller under the GDPR, we carry out the following processing activities, which we keep track of in our GDPR software.

Website Visits

In this connection, we will process your personal data so that we can communicate with you, for example to answer questions about our services. We only process the information that you provide to us in connection with our communication.

We will typically process the following general information: name, email address and phone number.

Our legal basis for processing this personal data is Article 6(1)(f) of the General Data Protection Regulation.

We delete our communication with you once it is clear whether or not you wish to use our services.

In special cases, there may be a need to retain your personal data for a longer period.

Customers

We need to communicate with our customers to ensure that our services are delivered correctly. In this connection, we may process information such as name, address, services, special agreements, payment information and similar information.

The legal basis for processing this personal data is Article 6(1)(b) of the General Data Protection Regulation.

Once the service has been delivered and any outstanding matters have been settled, we will delete the personal data immediately thereafter.

Newsletter

We have a newsletter that you can subscribe to voluntarily – and you can unsubscribe at any time.

The purpose of the newsletter is to send subscribers emails containing new information from the company, which may include new content on the website and advertising of our services.

We will only send you emails if you have actively consented to this. Initially, you must provide your email address, after which we will send you an email so that you can confirm your subscription. In this way, we ensure that you have personally subscribed to the newsletter and have therefore given active consent.

Our legal basis for processing your personal data (i.e. your email address) in connection with the newsletter is Article 6(1)(a) of the General Data Protection Regulation.

We will process your personal data for as long as you remain subscribed to the newsletter. When you unsubscribe from the newsletter, we will also stop sending it to you. If we have not sent you a newsletter for 1 year, your consent will lapse due to our inactivity.

When you unsubscribe from the newsletter, we retain your previous consent for 2 years after it was last used due to limitation requirements, cf. section 11.3 of the Danish Consumer Ombudsman’s spam guidelines.

Bookkeeping

We are required to retain all accounting records in accordance with the Danish Bookkeeping Act. This means that we retain invoices and similar documents for accounting purposes. These may contain general personal data such as name, address and description of services.

Our legal basis for processing personal data for bookkeeping purposes is Article 6(1) of the General Data Protection Regulation.

We retain this information for a minimum of 5 years after the end of the current financial year.

Job Applications

We welcome job applications in order to assess whether applicants match our company’s recruitment needs.

If you send us a job application, our legal basis for processing your personal data is Article 6(1)(f) of the General Data Protection Regulation.

If you have submitted an unsolicited application, HR will immediately assess whether your application is relevant and will then delete your information if there is no match.

If you have submitted an application for an advertised position, we will dispose of your application if you are not hired, immediately after the appropriate candidate has been found for the position.

If you participate in a recruitment process and/or are hired for the position, we will provide you with separate information about how we process your personal data in this connection.

Data Processors

Few organisations can handle everything themselves, and the same applies to us. We therefore work with business partners and use suppliers, some of whom may act as data processors.

External suppliers may, for example, provide systems for organising our work, services, consultancy, IT hosting or marketing.

It is our responsibility to ensure that your personal data is processed properly. We therefore impose high standards on our business partners, and our partners must guarantee that your personal data is protected.

We therefore enter into agreements with companies (data processors) that process personal data on our behalf in order to increase the security of your personal data.

Disclosure of Personal Data

We do not disclose your personal data to third parties, but with your consent, we may disclose information to our approved partners for the purpose of a product presentation requested by you.

Profiling and Automated Decision-Making

We do not carry out profiling or automated decision-making.

Transfers to Third Countries

As a general rule, we use data processors located in the EU/EEA or which store data within the EU/EEA.

In some cases, this is not possible, in which case data processors outside the EU/EEA may be used if they can provide an adequate level of protection for your personal data.

Security of Processing

We keep the processing of personal data secure by implementing appropriate technical and organisational measures.

We have carried out risk assessments of our processing of personal data and have subsequently implemented appropriate technical and organisational measures to increase the security of processing, for example GDPR awareness training.

One of our most important measures is to keep our employees up to date on GDPR through ongoing awareness training, GDPR courses and by reviewing our GDPR procedures with employees.

Rights of Data Subjects

Under the General Data Protection Regulation, you have a number of rights in relation to our processing of information about you.

Right of Access

You have the right to access the information that we process about you, as well as certain additional information.

Right to Rectification

You have the right to have inaccurate information about yourself corrected.

Right to Erasure

In certain cases, you have the right to have information about you deleted before the time at which our general deletion procedures would normally apply.

Right to Restriction of Processing

In certain cases, you have the right to have the processing of your personal data restricted. If you have the right to restriction of processing, we may in future only process the information – apart from storing it – with your consent, for the establishment, exercise or defence of legal claims, or for the protection of a person or important public interests.

Right to Object

In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You may also object to the processing of your information for direct marketing purposes.

Right to Data Portability

In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have this personal data transferred from one data controller to another without hindrance.

Withdrawal of Consent

Where our processing of your personal data is based on your consent, you have the right to withdraw your consent.
